How are my organisation’s details stored and used?
Music Masters will only collect, process and store information we have openly collected from you or with your consent, in accordance with data protection laws. Your details will be held only by Music Masters and our I’M IN Advisor and will not be made available to any third party, except where otherwise stated.
Sign up data
When you sign up for I’M IN you are asked to provide certain details that help Music Masters to understand who is accessing I’M IN and through which route, which in turn allows us to create a picture of who we are reaching and not yet reaching. It also allows us to stay in touch with you as an I’M IN Community member, should you give us permission to stay in touch in this way (an option upon sign up). This information is collected through a secure platform called JotForm, embedded on our website. From here it is moved within 18 months onto our secure cloud-based database on SharePoint which can only be accessed within Music Masters. Please let us know at imin@musicmasters.org.uk if your email address or key contact changes so that we can ensure we have the most up-to-date information on file.
I’M IN tool data
Details provided to us and our I’M IN Advisor through the platforms we use for I’M IN (including QuestionPro, Calendly and JotForm) remain securely held on the platforms’ servers for 18 months following completion of either the final dimension (Procurement) or – if an organisation is not working through all dimensions – the Exit Survey, indicating that they have concluded their current period of usage of I’M IN. After 18 months the tool data is then downloaded to our SharePoint server and anonymised, and then deleted from the online platforms through which it was collected.
We hold on to anonymous tool data for ongoing analysis and evaluation purposes, and may share this anonymised data publicly as appropriate, for example to illustrate broad trends. Any other public usage of your data would only take place upon receiving permission from you.

The I’M IN Process
I haven’t received my sign-up email – what do I do?
The first thing to do is check your junk mail. If you haven’t heard from us within 24 hours please email us on imin@musicmasters.org.uk.
In the I’M IN tool, do my scale responses correspond with an industry benchmark?
No. I’M IN is not aligned to an industry benchmark, and scaling is purely a way of supporting and provoking discussion. Scale responses can also be used as an internal measure for organisations to work to when considering where they are with each area and by how much they seek to improve.
Why do we have to complete evaluation and follow-up surveys?
By submitting this information to us, you help Music Masters understand how effectively I’M IN works, and how it is supporting the sector with its D&I progress. It also allows us to provide evidence of impact to funders of our charity, and without their support we simply can’t continue to offer free access to the I’M IN tool. We really appreciate your help in making this possible.
How can we show that we have completed I’M IN?
I’M IN is designed to be a process that organisations regularly return to, and as such can’t technically ever be ‘completed’!
That said, we hope you will proudly display our I’M IN digital badge on your website and share your I’M IN journey on social media and through word of mouth to enable more organisations in the sector to participate.
I’M IN Supported Route
What are the payment and rescheduling terms?
We ask that full payment is made up-front to encourage commitment and to ensure that the time of your I’M IN Advisor, an independently contracted DI professional, is covered.
Once you made payment, no refund will be provided, so please make sure you are happy to commit on behalf of your organisation before making payment. The I’M IN Supported Route is designed with a flexible timescale in mind, so if you must reschedule any sessions with your I’M IN Advisor due to unforeseen circumstances, you can do this using the ‘reschedule’ option at the bottom of your Calendly booking confirmation email for that session. Please ensure you do this within a reasonable timetable for your I’M IN Advisor, in line with the rescheduling / cancellation terms provided when you book each session. Likewise, if your I’M IN Advisor needs to reschedule a session with you for any reason they will give you as much notice as is possible and help you to find a new date.
What is the cost for?
The cost of this route is £795, which mostly covers I’M IN Advisor consultancy fees and provides a small contribution towards administration, overheads and analysis costs for the I’M IN programme.
Do you provide financial support for organisations hoping to sign up for the I’M IN Supported Route?
Not at present. We make no profit from I’M IN and as a charity are not able to fund bursaries, but the I’M IN Independent Route provides access to the I’M IN tool on a suggested donation basis to ensure that every organisation can move forward on their DI journey without barriers
